Be Well HKers CIC
1. Policy Statement
Be Well HKers CIC (“the CIC”) is committed to providing a safe and healthy environment for all individuals involved in or affected by our activities. This includes directors, staff, volunteers, facilitators, partners, service users, and members of the public. We recognise our duty of care under the Health and Safety at Work etc. Act 1974 and related UK legislation.
2. Scope
This policy applies to all the CIC activities, whether delivered:
- In person or online
- At hired venues, outdoor locations, or community spaces
- In partnership with other organisations
Our activities are primarily for adults aged 18 and over.
3. Responsibilities
CIC Directors
- Hold overall responsibility for health and safety governance
- Ensure appropriate policies, procedures, and risk assessments are in place
Staff, Volunteers, and Facilitators
- Take reasonable care of their own health and safety and that of others
- Follow health and safety procedures and guidance
- Report hazards, incidents, or concerns promptly
Service Users and Participants
- Are expected to behave responsibly and follow reasonable safety instructions during activities
4. Risk Assessment and Management
- Risk assessments will be carried out for activities, events, and venues where appropriate
- Risks will be reduced through reasonable and proportionate control measures
- Specific consideration will be given to accessibility, mental wellbeing, and the needs of migrant communities
5. Venues and Equipment
- Venues will be checked for basic safety, accessibility, fire exits, and emergency procedures
- Any equipment used will be suitable for the purpose and used safely
6. First Aid and Emergencies
- Reasonable first aid arrangements will be in place for in-person activities
- Emergency procedures, including evacuation routes, will be communicated where relevant
- In emergencies, appropriate services (e.g. 999) will be contacted immediately
7. Mental Health and Wellbeing
The CIC recognises that health and safety, includes mental and emotional wellbeing. We aim to:
- Promote respectful, non-threatening environments
- Address distress or wellbeing concerns sensitively
- Link individuals to appropriate support where needed
8. Accident and Incident Reporting
- Any accident, injury, near miss, or safety concern must be reported to a CIC director or designated lead
- Incidents will be recorded and reviewed to prevent recurrence
9. Online Safety
For online activities, we will:
- Use secure platforms
- Promote respectful behaviour
- Address inappropriate conduct promptly
10. Review and Monitoring
This policy will be reviewed annually or sooner if required due to changes in activities, legislation, or guidance.

This Health and Safety Policy is approved by the Directors of Be Well HKers CIC.
